Overview: This project was created to help new and current employees quickly adapt to the company culture, increase their commitment to the workplace, and provide ongoing learning opportunities. In addition to addressing employees' training needs, the application aims to enhance internal communication and interaction.

I want to discover and overcome the most challenging aspects of starting a new job and orientation period, and as a result, I want to understand what steps need to be taken to create a smart system that can help both the employer and the employees adapt quickly and professionally to the needs of the work environment.
What do I already know?
- Employees working in corporate companies may have more difficulty adapting during the orientation period.
- There aren't many websites to manage orientation period and, maintain employee motivation.
What do I not know?
I am unsure what factors connect a new employee to the company and help her/him feel a sense of belonging during the adaptation process and afterward.

My internet research made me think that new employees frequently face considerable stress and anxiety during orientation as they adjust to their new work environment. This phase can be overwhelming due to the influx of unfamiliar information, the pressure to meet performance expectations, and the challenge of building relationships with colleagues. Additionally, new hires may feel nervous about their ability to succeed in their roles, leading to high levels of anxiety during this transitional time.

User Survey
Due to limited access to active Vestel employees, I conducted and surveys with former Vestel staff as well as employees from similar large-scale manufacturing companies to gather relevant insights.
One of the most surprising findings from my survey was related to learning styles. I expected interactive learning to be the most popular choice, but it ended up being the least favored. I believe this outcome is due to the wide age range of participants. Specifically, many respondents over the age of 40 preferred written materials. This insight made me consider adding both video and written materials to my app since a factory employs people of various education levels and age groups.

To better understand the needs of new hires and improve the onboarding experience, I conducted interviews with former Vestel employees and staff from similar manufacturing environments. These sessions revealed recurring emotional and practical challenges, which I translated into actionable design insights.

Competitive Analysis
After the interviews, I began to think about how to approach the project. I decided to divide it into two parts and conduct a general analysis of the applications.
My main goal in this analysis was to determine what other applications included in their application designs. Therefore, I focused on the must-have elements rather than their weaknesses.

UX Design
User Flows
I have created a sitemap that includes primary, secondary, and tertiary navigation. The goal was to clarify the business plan, learning, and buddy program process so users could easily use the app.
Afterward, I further expanded and explored each of these sections.

For job tracking, I wanted to define the processes of task assignment and completion communication between the team leader and the employee receiving the task through the user flow.
Then, I created a user flow that includes pages/sections, user decisions, and user choice options. The goal was to create a user flow that explains how to collect coupons by accumulating points earned from courses taken.

In creating the wireframe, I aimed to simplify content and enhance visibility, ensuring intuitive navigation for users on the platform.
I utilized this tool to create visual representations and make informed decisions about the most effective user pathways within the system.

UX Design
Design Decision
My goal for this business-oriented design was to create harmony by utilizing large fonts and forms to generate contrast while maintaining simplicity. I also incorporated glass morphism and emojis to enhance the user experience.
In the project, I used the blue code #1b8cdc as a basis to create a color palette suitable for Vestel's corporate identity. This blue tone evoked reliability, professionalism, and modernity, making it an ideal choice for a business-oriented application. In addition to this blue tone, I used the code #d11c34, which is closest to Vestel's red tone, to achieve a color harmony compatible with the brand identity. The combination of these two colors added dynamism and energy to the interface, while at the same time strengthening the brand's recognition was my priority.
In order to achieve a modern and stylish look in the design, I occasionally used the glass morphism effect. With this effect, I focused on adding depth and dimension to the interface while also attracting users' attention. However, since excessive use of this effect can negatively affect readability, I took care to ensure that texts and important elements were always clearly visible. I applied the glass morphism effect in a way that was compatible with backgrounds and maintained readability by casting shadows on the texts.

Each feature listed below was developed based on a comprehensive process involving thorough research, user stories, feedback collection, and meticulous user testing.

Employees need to understand the company's vision and mission to fully embrace the company culture. Therefore, each time the application is opened, users are welcomed with the company's mission and vision page.

Quiz to Embrace Company Culture

Research indicates that employees who embrace their company culture tend to feel a stronger connection to their workplace and often remain in their positions longer.

To promote this culture, periodic quizzes on the company's structure, history, achievements, mission, and vision are held. The top three performers in these quizzes receive gift vouchers from contracted institutions as a reward for their efforts.

Job Tracking

The job tracking section on the Team page allows users to view the status of jobs according to their urgency

Users can view their assigned jobs on the detail pages, where they can find the due dates, brief descriptions, and the names of others assigned to the same tasks.

Additionally, videos on the page demonstrate how to complete the tasks and share the product story. At the end of the page, courses that can help them develop skills related to the given job are recommended.

Schedule

There is a schedule area where users can view holidays, company events, and meeting times.

Contact List

In addition to facilitating business conversations and consolidating them in one location, the Contact List aims to resolve communication issues for new employees.

Messages

Users can easily engage in business conversations through the messages section. They can participate in group chats with their departments.

Notifications

Users can respond to meeting requests via notifications, receive calendar alerts, view the daily cafeteria menu, check upcoming holidays, see new employees, and get notifications about courses completed by followed employees.

Choosing a Course

Users can enroll in compulsory courses (such as occupational safety) and courses that will increase their professional skills. At the end of the course, they receive a certificate.

My Learnings
Breaking My Design Boundaries
The biggest challenge I faced in this project was the depth and scope of user research. Specifically, the interviews I conducted with the company owner, managers, and employees at my previous workplace helped me gain a better understanding of both the sector dynamics and the real needs of the employees. Engaging with people from various backgrounds and different departments allowed me to broaden the project's scope and consider aspects I had never thought of before.
For instance, the interviews regarding the importance of the orientation process revealed how crucial first impressions are for both employees and companies. I realized that this phase is not just the beginning of the recruitment process; it is also a long-term journey that significantly impacts employees' adaptation and loyalty to the company culture.
Although the project's overall aim was to provide a tailored solution for Vestel, a manufacturing company, my main goal was to create a flexible and customizable platform that could appeal to a broader audience. To this end, I tried to try new visual elements and arrangements by pushing my design boundaries. I tried to create an interface outside of my habit by using different design trends such as glass morphism, bold fonts, and large forms. However, combining these different elements into my design language and achieving visual integrity was quite a challenging process.
One of the most important lessons I learned from this project is the critical role of user research in the design process. Understanding the genuine needs and expectations of users is fundamental to successful design. Additionally, pushing beyond my design limits and experimenting with new ideas was a valuable opportunity for professional growth. This project reaffirmed my belief that design is not only about aesthetics but also serves as a powerful tool that shapes user experience.
In summary, the main challenges I encountered in this project included the depth and scope of user research, the effort to address the needs of diverse user groups, and surpassing my design boundaries. Overcoming these challenges enhanced my understanding of the significance of a user-centered approach in the design process, the psychological impacts of design, and the importance of continuous learning.
